Privacy policy
Last updated 8 October 2026
Niles is an AI sales coach run by IMHOTECH SDN BHD (1687822W), a company registered in Malaysia ("we", "us"). This policy explains what personal data Niles collects, why, who sees it and what you can ask us to do with it. It covers niles.biz and the Niles app.
What we collect
- Account details. Your name, email address and password (stored only as a secure hash). If you sign in with Google, Google gives us your name, email address and profile picture.
- What you put into Niles. Your deals and the contact details you record for them (names, companies, roles, and your notes on how they decide and what they care about), your conversations with the coach, meeting prep, debriefs, email drafts, role-plays, to-dos and calendar entries.
- What Niles works out from it. Deal health scores, your development scores against the book's seven principles, and weekly reviews.
- Usage. How many coaching questions you've asked, your activity streak and when you were last active, to apply plan limits and show your progress.
- Technical data. Our hosting providers log IP addresses and browser details for security and to keep the service running.
We use cookies only to keep you signed in. We don't use advertising or analytics cookies.
How we use it
- To sign you in, store your deals and conversations, and write coaching for you.
- To apply plan limits and show your progress.
- To keep Niles secure and fix problems.
- To email you about your account or important changes to Niles.
We don't sell your personal data, use it for advertising, or use it to train AI models.
Google user data
If you sign in with Google, Niles asks only for your basic profile: your name, email address and profile picture. We use them to create your account, sign you in and show your name and picture in the app. Niles does not ask for access to your Gmail, Calendar, Drive or contacts. We share Google user data only with the providers below that run our sign-in and database. Niles' use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Who sees your data
Niles runs on these providers. They process your data on our behalf, only to provide their service to us:
- Supabase stores your account and everything you put into Niles, and handles sign-in.
- Vercel hosts the website and the app.
- Cloudflare delivers traffic to niles.biz.
- Anthropic writes the coaching. Your messages, and the deal details they relate to, are sent to Anthropic's Claude models to generate each reply.
- Voyage AI finds the passages of The Pharaoh's Pitch that fit your question. The text of your question is sent to Voyage AI.
- Google, only if you choose to sign in with Google.
Your team lead. If you belong to a team in Niles, your team lead can see your deals and their activity. Other users can't see your account.
We may also disclose data when the law requires it.
Where it is stored
These providers run servers outside Malaysia, including in the United States, so your data is processed there. It is encrypted in transit, and our providers encrypt it at rest.
How long we keep it
We keep your account and its content while your account is open. When you ask us to delete your account, we delete it and everything in it within 30 days, unless the law requires us to keep something. Backups may hold a copy for a short time after that.
Your rights
Under Malaysia's Personal Data Protection Act 2010 you can ask to see the personal data we hold about you, correct it, or have it deleted, and you can withdraw your consent to us processing it. Withdrawing consent means closing your account, because Niles can't coach you without your data. Email [email protected] and we'll respond within 21 days.
Children
Niles is for working professionals and isn't meant for anyone under 18.
Changes
If we change this policy in a way that matters, we'll tell you by email or in the app before the change takes effect. The date above shows the current version.
